Two modes, one switch at the top
DEMO is a made-up company with a full month of history, so you can look around a working system. LIVE is your own company: empty until you put something in it. Switching never deletes anything. Right now you are in DEMO.
Money going out — from "we need this" to paid
- Someone asks to buy — and cannot approve it themselves. Whoever raises a request is never the one who approves it. That single rule is what stops one person quietly buying things.
- The order goes out at an agreed price. If several suppliers should compete first, that happens in Sourcing.
- The goods arrive and someone confirms it. Without this, you can pay for things you never received.
- The invoice arrives — dropped in, or emailed to
[email protected]. It is read automatically: supplier, number, dates, amounts, VAT, bank account. - Then it is checked, in order: is it really an invoice, did we read it confidently, have we booked this number before, does the VAT add up, is there a purchase order, does the price match the order and the delivery, is the supplier known, is the bank account the one we have on file, where does the cost go, is it over the limit that needs a person.
- Clean ones post themselves. Anything else stops and says exactly why — and the fix is on the screen, already filled in from the invoice. You check it, press approve, and the check turns green.
- Payment run — only cleared invoices are in it. It produces the file your bank accepts. The system never moves money itself.
Money coming in
Stock → a customer order → you ship it (the cost moves out of stock) → you invoice it (the sale and the VAT are booked) → they owe you → the money lands and you match it in Bank & Cash. Revenue is only ever booked when you actually invoice, never when you hope.
Making the month true
Fixed Assets spreads the cost of machines and vehicles over the years they are used, and catches the things that quietly break a close. Bank & Cash matches your statement line by line so the books and the bank agree. Month-End Close then checks the books itself — every invoice decided, depreciation booked, VAT settled, bank agreed — and only then lets you lock the month. After that, nothing can post into it.
Why you can trust what it says
- Every decision is explained, with the rule and the numbers it compared. Click any invoice number anywhere.
- Every entry is double-entry and the trial balance must balance. If it did not, the system would tell you.
- Every action is logged — who approved, rejected, paid, closed, and when. Visible on the document and downloadable.
- Nothing is locked in. Export & backup gives you the journals, the statements and a full backup in one click.
The honest limits
- One currency (DKK) and one VAT rate per document today.
- It prepares your VAT figure; it does not file it for you.
- Automatic reading can misread a bad scan — that is why every field is editable and nothing posts unchecked.
- It is young. The finance spine is complete and working, but it has not yet run a full audited year. The full picture is here.
